Your first few weeks

Here's what happens between saying yes and your first set of financial statements. Once your signed documents, intake form, payment and records are in, setup usually takes 5 to 7 business days.

  1. Right away

    Sign and settle in

    Review and sign your engagement letter and scope of work, then submit your first payment. Your scope of work spells out what we'll do, when, and your monthly fee.

  2. Your first week

    Tell us about your business

    Complete your client intake form in your shared Google Drive folder. It saves as you go, so you can come back to it anytime.

  3. Your first week

    Share access and documents

    We'll send a short list of the accounts we need access to and the records that help us get started, like last year's financial statements and recent filings.

  4. Once you're set up

    Your kickoff call

    A 30-minute call to walk through your setup, confirm how we'll work together and answer your questions. Book a time on our website, or we'll reach out to set it up.

  5. Within 5 to 7 business days

    We set up your systems

    We review your QuickBooks Online file, bank connections, sales tax and payroll settings, and set up receipt collection so everything flows smoothly each month.

  6. After your first month

    Your first statements, explained

    Once your first month is complete, we'll walk you through your financial statements so you know exactly what you're looking at and what it means for your business.

Once we have what we need, we complete your monthly bookkeeping and send your financial statements, ready for you to review.

If something we need is still outstanding, your completion date moves with it, and we'll always tell you what's holding things up.

Your shared folder

Your shared Google Drive folder is where we securely exchange documents. To find it:

  1. Sign in to your Google account.
  2. Open Google Drive and select Shared with me.
  3. Open your Bloom folder to view or upload documents.

You can also use the folder link in your welcome email.

Along the way

Bookkeeping is more than monthly reports. We check in at a few key points to make sure things are working well for you, both ways.

Your scope of work

Your scope of work outlines the services Bloom is responsible for, how often and when they happen, your monthly fee, and what we'll need from you. We work within it so expectations, timelines and pricing stay clear.

Businesses change, and your needs may too. If you need help with something outside your scope, just ask. We'll let you know whether it fits your current service or quote it separately, and we'll always talk about fees before doing the work.

Billing

Invoices go out on the 5th of each month for the coming month of service. You can pay by credit card or by e-transfer to caitlin@bloombooks.ca. Your monthly fee and included services are in your scope of work.

Meetings and extra support

Bloom works mostly remotely, with in-person meetings and document drop-offs available at our office. Routine questions are best sent by email. For a deeper conversation, financial review or planning session, we'll book a meeting. Your plan includes the meeting time listed in your scope of work; additional meetings or advisory work may be billed separately.

When information is outstanding

We rely on timely information to keep your books moving. If documents or answers are still outstanding, we may need to pause the affected bookkeeping or filings until they arrive.

If we haven't been able to get what we need for 60 days, your account may be placed on hold, and catch-up or reinstatement fees may apply when work resumes. We'll always reach out before it gets to that point.

Filing deadlines

We take the deadlines in your scope of work seriously and work ahead to keep them on track. Some depend on information, approvals or payments from you, and we'll tell you clearly when we need something. If information arrives late, we can't guarantee the original timeline.

If your needs change

We value long-term relationships built on clear communication and mutual respect. If your business changes, or your current service level no longer feels like the right fit, reach out and we'll review your scope of work together.
